How To Fill Out Your Job Summary

 

Please submit two copies of the Job Summary with your film or digital files.

 

NOTE: Excel Photo will be happy to preprint your job summary for you at no charge.

Just send a copy of your Order Envelope two weeks prior to your shoot date.

Indicate the film roll number and total rolls.

Fill in customer number and job number. Enter your Excel Photo customer number. If you don’t already have one or aren’t sure what your customer number is, give Customer Service a call. Each job should also have a unique job number. This number will be used in conjunction with the job name in tracking your order and will also be referenced on your invoices and statements. It’s not necessary to assign separate job numbers or submit separate job summaries for each day if all shoot days are sent to the lab at the same time.

To begin logging orders, assume that your first shot is frame #1. Excel Photo will make any adjustments to compensate if you start at anything other than frame #1. Please be absolutely sure that each and every frame is accounted for on your worksheet. This means that if you shoot two frames of an individual, you will list them twice on your film worksheet. Simply indicate “edit best” and Excel Photo will pick the best frame. That individual’s package order would only be entered once on the worksheet (in the Package Ordered field) as the first frame shot. The same applies to group photographs where more than one frame is shot.

Uniform numbers are extremely helpful! Uniform numbers are especially helpful to the film editors and package assemblers in verifying the accuracy of orders. Please enter them on your film worksheets whenever possible.

Indicate the package number(s) ordered. This is easy to do if you have entered your packages on your job summary in exactly the same order as they appear on your envelope. Excel Photo suggests taking an envelope and numbering each package if they are not already numbered. By doing this, you can speed up your logging process tremendously. Separate each package for an individual with a comma. For individuals ordering two or more of the same package (or in the case of multiple groups), simply write in the number of sets needed. For example: Lewis Taylor on frame 7 orders three of Pack #4. His order would be entered as “4,4,4”. (NOTE: please do not indicate such an order as “4x3” as it can be easily misinterpreted.) If there are no prints ordered on a particular frame, leave that line blank. When ordering from team shot frames, order only those groups needed for coaches, sponsors or group-only buyers. Groups needed for Memory Mate orders should not be included in the count. Also, remember to order any sponsor plaques, if needed, at the team shot frame.

Indicate the group or individual’s name on each frame.

If you take more than one frame in a row of the same subject, ditto marks may be used.

PLEASE NOTE: If individual’s names are not listed on the film worksheet, we cannot be responsible for trading card backs with mismatched information. All such order corrections will be charged to the customer.

4d.

Fill in the ‘late show’ column.

This column is used to indicate where a child, who shows up late in the shoot, actually belongs. Simply note the team roll and frame number where the individual belongs in this space to ensure that the correct team photo is used for the order. This column can also be used to indicate a blink or an edit.

Indicate the total number of each package ordered on this roll.

For example: Package 17 was ordered a total of eight times. Just put an “8” in the box marked “17” at the bottom of the film worksheet. These numbers will be used on your job summary to calculate the total cost of your job. They are also very helpful to us for assembly verification purposes.
