How To Fill Out Your Job Summary

 

Please submit two copies of the Job Summary with your film or digital files.

 

NOTE: Excel Photo will be happy to preprint your job summary for you at no charge.

Just send a copy of your Order Envelope two weeks prior to your shoot date.

1.
Fill in the job name. Your job name should identify the league, school or association that was photographed. Refer to this job name when you have questions about your order.
2.
Fill in your customer number. Enter your Excel customer number. If you don’t already have one or aren’t sure of what your customer number is, give us a call.
3.
Fill in the job number you have assigned to this job. Each job should have a unique job number that is a maximum of 6 characters. This number will be used in conjunction with the job name in tracking your order and will also be referenced on your invoices and statements. NOTE: It is especially important that jobs with similar or the same job names have a unique job number. For example, if a league is shot on three separate days and you will be sending it in as you shoot, you’ll want to be able to identify it by the job number as well as the job name. To do this, simply add a suffix to the original job number to keep it unique. This suffix should allow you to identify which shoot (or day) the job is. Here’s an example of how that would work: Your job is Payton Little League, Job #001. Day one would be Job #001, day two would be Job #001B, day three would be Job #001C, etc.. It is not necessary to assign a separate job number or to prepare a separate job summary if all shoot days are sent to the lab at the same time.

Fill in the total number of rolls of film (or CDs) being sent in on this job. Please indicate the number of rolls of film or CDs that you are sending us for this job.

Indicate the film type used for this job.
a.
Please fill in the type of film used (e.g., Mitsubishi MX100, Kodak VPS, etc.) and whether or not your film was pre-processed.
b.
Indicate whether we should keep your film on file at Excel Photo or return it. CDs will be returned to you when the job ships.
6.
Enter the package information.
a.
Fill in the catalog number from this catalog that correspond to your packages. If your package contains more than one item, the catalog number will simply be your package number (i.e., PK1).
b.
Describe the items included in your package (i.e., 3x/5x MM, 12TC, 1-Button). List each package on the Job Summary in the same order that they appear on your order envelope. If a package on your order envelope is not produced at Excel Photo, leave the catalog number field blank and put “Not Produced At Excel Photo” in the description. If a package requires that Excel Photo produce only the photos required for that product (such as pennants, mugs, sculptures, etc.), describe only those prints that you require (i.e., 1-3x5 ind, 1-5x7 group). Be sure to include an entry (package) for items that do not appear on your envelope such as team photos for coaches or plaques that you will provide to the organization. Items not included on your order envelope should be listed on the Job Summary. Also include an entry for groups with titles, custom trading cards setup charges, etc.
c.
Indicate the total quantity for each item sold.
d.
Indicate your lab cost for each item offered on your envelope. When calculating costs, use the “A La Carte Price” for each item if there are less than three items in that package. Use the “Package Price” if three items or more are included in that package.
e.
Multiply the “Qty” times the “Cost Per” to calculate the “Total” for each package.
f.
Use the “Comment” column to indicate “separate sort” or other special handling on any given package.
7.
Enter title information for value-added products Indicate the title information for trading cards and magazine covers. Please submit custom trading card graphics 2-3 weeks before your shoot date.
8.
Enter shipping information.
a.
Specify shipping address.
b.
Specify shipping method for packages.
c.
Specify shipping method for tribute plaques. If not specified, tribute plaques will be shipped via UPS Ground.
d.
Specify shipping method for MVP & All Star plaques. If not specified, MVP & All Star plaques will be shipped via the same method as packages.
9.

Enter any additional information.
