Instructions & Procedures for Groups In Package
The following is a list of instructions and procedures for groups in package. Please refer to the sample order forms on the opposite page as you read through this section. These pages were created to help illustrate how order processing takes place.
• Be sure that your individuals are clearly slated at the beginning of each class. Include the teacher’s name, grade and any other identifying information. Be certain that the name and grade are the same in both the slate and your group production form. When photographing kindergarten & preschool classes, be sure to include AM, PM and/or class days (i.e., Mon/Wed).
• Slate each classroom group clearly. Be sure that the slate information for the group matches the slate information for the individuals. Groups may be identified by any of the following methods:

Use a sign board in front of the group when shooting (this method is not recommended for groups with titles or groups with names). | |

Include identifying group number in data if digital capture for both groups and individuals. |
• Send a completed Group Production Form & Graphics Information listing all groups in the order they are shot. Be sure that all group images are identified on the production form as they are listed on the slates so that they can be easily matched to the individuals. Be sure to include AM, PM and/or class days (i.e., Mon/Wed) where applicable.
• If ordering titled groups, be certain that the job name, teacher name(s) and grade(s) on the Group Production Form & Graphics Information reflect what you wish to appear on the title. This is where title information is obtained to set up graphics for your groups. Any errors on your part WILL carry through to the final product.
• Indicate quantity needed for each class or write “quantity from package data” in the quantity column. Be sure to indicate additional prints needed for record sets or albums.
• For makeup (retake) day, be sure that students who require a group in their package are easily identified. This may be done in one of two ways:

Provide a ‘Class Photo Only’ list for those students who do get a group in their package. |
• Be sure that a completed, legible Group Production Form & Graphics Information accompanies makeup day film as well as original day. Only the groups needed for makeup or retake individuals need to be listed.
